Armstrong World Industries, Inc. (AWI) has a job opportunity for a Part-time Administrative Assistant to be located in Lancaster, PA. The Administrative Assistant will be responsible for providing timely, accurate and efficient administrative support for an assigned functional area or department. Additionally, the Administrative Assistant will need to demonstrate high ethical standards, communication skills and an ability to maintain confidentiality.

 

Key Responsibilities of the Administrative Assistant:

  • Performing routine administrative functions, some of which are of a confidential nature
  • Receives, screens and directs incoming calls, visitors, and mail.
  • Communicating with outside vendors
  • Assisting with Purchasing requisitions and goods receipts
  • Ordering supplies using corporate credit card and Payment.Net system
  • Researching budget details on monthly basis
  • Working closely with managers under time-sensitive deadlines
  • Preparing presentations, reports and other documents, utilizing Microsoft Word, Excel and PowerPoint
  • Communicating with various AWI departments and all levels of management
  • Managing calendars and schedules with authority to schedule appointments and meetings
  • Planning and coordinating internal and external meetings
  • Composing correspondence upon request
  • Managing document retention
  • Processing overnight shipments using web-based systems

 

Job Share/Part-time Expectations

The standard hours of work would be noon-5pm each day; however, this position requires a flexible schedule and the potential of extended work hours to support business demands. The Administrative Assistant position consists of two part-time employees “job-sharing” in order to provide coverage to the Lobby between the hours of 7:30a and 5pm, Monday – Friday.  Time off considerations will be based on your job-share partner to be able to cover a day off that you request and approved by your manager.

 

"Job sharing" is an alternative work arrangement whereby the duties and responsibilities of a full-time position are shared by two part-time employees. Each employee may be responsible for the whole job and all of its tasks, or alternatively, some projects or tasks may be assigned independently. By definition, for a job to be shared, both employees are accountable for the majority of its responsibilities, and must interact in order to accomplish them.

     

Required Qualifications for the Administrative Assistant:

  • High school diploma or GED
  • 1+ years of related administrative support experience or training
  • Strong computer skills, advanced Excel skills, and basic proficiency with the rest of Microsoft Office
  • Excellent communication skills, both written and verbal
  • Strong organizational and research skills
  • Ability to prioritize, complete multiple tasks and follow through to achieve project goals
  • Ability to function effectively in a fast-paced high-volume work environment with strong attention to detail and accuracy
  • Ability to exercise good judgment in handling and processing confidential information
  • Ability to effectively job share

 

Desired Qualifications for the Administrative Assistant:

  • Bachelor’s degree
  • Experience with SAP
