Armstrong World Industries has a job opportunity for a Senior Administrative Assistant-Business Development and Commercial Sales to be located in Lancaster, PA.  Reporting to the Vice President, Global Business Development and supporting the Vice Presidents of Commercial Sales, East and West, the Senior Administrative Assistant will provide timely, accurate, and efficient administrative support for functional areas or department.  The Senior Administrative Assistant uses knowledge of organization’s policies and practices, demonstrates high ethical standards, communication skills, and ability to maintain confidentiality.


Essential Duties and Responsibilities of the Sr. Administrative Assistant:

  • Performing administrative functions, some of which are of a highly confidential nature.
  • Working closely with the managers under time-sensitive deadlines.
  • Preparing presentations, reports and other documents, using PowerPoint, Excel and Word.
  • Communicating with various Armstrong departments and management. 
  • Managing calendars and schedules with authority to schedule appointments and meetings.
  • Planning and coordinating meetings/appointments and resolving scheduling conflicts.
  • Managing travel arrangements and creating expense reports using SAP system.
  • Reviews managers' subordinates' expense reports for compliance to policy and approves as proxy for said manager.
  • Prepares presentations, reports and other confidential documents for use by senior leadership and Board of Directors.
  • Serves as contact for people inside and outside the company.
  • Schedules, prepares and administers meeting agendas and action items.
  • Working on special projects which encompass research and compilation of data.
  • Composing correspondence upon request.
  • Communicating with outside vendors.
  • Performs at high level of accountability.
  • Assisting with Purchasing requisitions and goods receipts.
  • Researching budget detail on monthly basis
  • Processing paperwork to move/transition/onboard employees, including phone, cubicle/office space, network access, etc.
  • Receives, screens and directs incoming calls, visitors, and mail.
  • Establishes and maintains filing system that includes confidential personnel and customer files, in accordance with records management procedures.  Will be responsible for retrieving filed documents and materials.
  • Proactively identifies and takes on work from customers.
  • Solves practical problems and deals with a variety of concrete variables in situations where only limited standardization exists.  Interprets a variety of instructions furnished in written, oral, diagram, or scheduled form.
  • Responds to common inquiries or complaints from customers, regulatory agencies, or members of the business community
  • Providing back-up for other Administrative Assistants


Required Qualifications for the Sr. Administrative Assistant:

  • High school diploma
  • 3+ related experience and/or training (including a preferred degree in business or related field).
  • Advanced level proficiency in MS Word, Excel, and PowerPoint and other business related software.
  • Advanced level proficiency in business software applications, communications tools (WebEx, video-conferencing, etc.), Outlook, SharePoint or similar programs
  • Excellent organizational and research skills; ability to multi-task in support of multiple managers
  • Ability to work independently and exercise good judgment in handling and processing confidential information.
  • Ability to function effectively in a fast-paced high-volume work environment with strong attention to detail and accuracy
  • Excellent interpersonal and relationship-building skills with all levels of internal and external clients, with other administrative assistants and their clients
  • Flexibility in schedule to allow for early morning and or evening support, if necessary
